Most teams are still doing manually what Zapier can handle in seconds. Here are five workflows worth setting up this week.
The average knowledge worker loses over two hours a day to tasks that are technically automatable — moving data between apps, sending follow-up emails, updating spreadsheets, notifying teammates. None of it requires human judgment. It just requires someone to have set up the automation. Here are five Zapier workflows that pay for themselves within a week.
1. New Form Submission → CRM + Slack Notification
Every time a contact form fills out on your website, Zapier creates a contact in your CRM (HubSpot, Pipedrive, whatever you use), adds a tag based on which form they submitted, and sends a Slack message to the relevant team channel with the lead details. Setup time: about 20 minutes. Time saved: every lead that used to sit in an inbox waiting for someone to manually add it.
2. New Invoice Paid → Update Google Sheet + Send Thank You Email
When a Stripe payment clears, Zapier logs it to your revenue tracker in Google Sheets and sends a personalized thank you email through Gmail. No one has to remember to do either. The email goes out within seconds of the payment, which is when it has the most impact.
3. New Typeform Response → Notion Database Row
If you use Typeform for client intake, onboarding surveys, or project scoping, every response can automatically become a structured row in a Notion database. Fields map directly — name, company, project type, budget range — so your team opens Notion and the data is already organized. No copy-pasting from email.
4. Overdue Task in Asana → Escalation Slack Message
Tasks go overdue. Usually nobody notices until a deadline is already missed. This Zap watches for tasks in Asana that are past their due date and sends a direct Slack message to the task assignee — and optionally their manager — with a link to the task. It runs on a schedule, so overdue items surface automatically without anyone having to chase them.
5. New Google Calendar Event → Automated Prep Email
When a meeting is booked on your calendar, Zapier sends a prep email to all attendees 24 hours before. The email pulls the event title, description, and attendee list from the calendar event and formats it into a clean briefing. Clients show up more prepared. Internal meetings start on time. Nobody has to remember to send the reminder.
The Common Thread
None of these require a developer. All five can be built by anyone who can navigate a web interface. The bottleneck is almost never technical — it is just knowing which workflows are worth automating first and taking the hour to set them up. If your team is still doing any of these manually, that is a good place to start.
